An effective equipment enquiry explains the application as well as the item being requested. This helps the supplier identify missing information early and prepare a proposal that can be assessed against the actual duty.
Start with the operating requirement
Describe what the equipment needs to do, the industry and country of installation, and whether the request is for a new package, a replacement or a repair. Include the required capacity or duty where it is available and appropriate to share.
Explain the interfaces
The electrical supply, control system, piping, foundations and surrounding equipment can affect selection. At the initial stage, identify the important interfaces and note where existing drawings or specifications will need to be reviewed.
Identify the acceptance basis
State the documentation, inspection, testing and handover information needed. An alternative or engineered replacement should be assessed against agreed criteria, including dimensional, material and functional requirements.
Set out the delivery context
A planned outage, restricted installation space or a long procurement lead time can shape the supply route. Explain the intended schedule and any site support required for installation or commissioning.
Share detailed records through an agreed channel
Keep the initial website enquiry general. Sensitive drawings, serial numbers or plant records can be exchanged later through an appropriate channel agreed with the technical team.
